Use My Documents as your secure library

My Documents shows your own documents and those of family or confirmed group members you are allowed to help. Access is relationship-based; an unconfirmed custom-group member’s files remain private.

My Documents library and action list
  1. Action items explain which person and document need attention.
  2. Open one person at a time to see current documents and history.
  3. Upload a new document from the main action or the relevant requirement card.

Upload a clear and complete document

  1. Choose the correct document type and the person it belongs to.
  2. Upload the requested page or image and complete every field marked required.
  3. For passport details, enter names exactly as printed; these details can be used for travel preparation.
  4. Save once, then wait for the resulting status instead of uploading repeated copies.
Document upload form
  1. The selected type controls which fields appear and which are required.
  2. Dates and document details must match the file.
  3. The saved upload enters office review when verification is required.

Why an uploaded document may not show complete

StatusWhat to do
UPLOADEDNothing more is needed unless the office requests a correction. It is awaiting review.
VERIFIEDThe file and required details passed review. It must still be linked to the relevant booking slot.
REJECTEDRead the reason, correct the problem and upload a replacement.
EXPIREDUpload a current version. A document may also be too close to expiry for a particular tour.
A file can be valid in your general library but still fail a tour’s validity requirement. The booking card shows the date the document must remain valid until.

The office must know exactly which version was used for each traveller and tour. That is why the portal keeps the document library separate from the booking link.

Document requirements inside a booking
  1. Each traveller has their own required slots.
  2. The card names the linked version and its status.
  3. An empty, rejected, expired or unverified requirement keeps the booking pending.

Replacing or renewing a document

A replacement becomes the current library version and normally awaits verification. A previously verified version can remain attached to a trip already prepared against it; this preserves the travel record. If the new version must replace the one already attached to an upcoming booking, raise one support request naming the booking and document.

Deleting or replacing a file is not a shortcut around review. Keep the previous version until the portal confirms the replacement was saved.
